PRINTING/COPYING/SCANNING

NYLS utilizes a system of Canon Imagerunner printers for networked printing, copying and scanning. You can send a print job from any device, using your Outlook 365 email client.  You can then retrieve your print job from any of the four Canon ImageRunner printers on campus. 

  1. Download and send your print job
  2. Download your file (maximum size 10MB)
  3. Go to an available networked printer
  4. Retrieve your print job

PRINTING - YOUR ONECARD - PRINT FUND

Copying and printing are each $0.10 per page.  A double-sided copy or print is considered one page, so you will save money and paper by choosing this option. Scanning is free

At the beginning of each semester, you will receive a credit of $10 on your OneCard to be used for printing and copying.  

The OneCard system does not allow you to deposit funds to your “Print/Copy Fund.” But when this fund runs out, the system looks to your “FlexFund” Account to cover printing/copying charges.  Use the Account Management Center (AMC) (next to the coffee bar) to add additional funds to your OneCard Flex Fund or online through the NYLS portal.  Select the OneCard icon (left column of the portal homepage). 

Please contact Business Operations (email: onecard@nyls.edu) if there is a problem with your Print Fund balance. Please include the barcode number on the back of your OneCard.

PRINTING - DOWNLOAD YOUR FILE

Step 1 DOWNLOAD AND SEND YOUR PRINT JOB  

  • Download your MS Office document, PDF or JPG to your computer. You cannot print using a Sharepoint link or HTML document.
  • Maximum file size for each document is 10 mb. If you send a file greater than 10mb, you'll get an error message and the print job will be deleted from the printer queue
  • You can compress your Adobe PDF by uploading it here:

    For a MS Word document, please compress it by saving pictures at a lower resolution (File | Options | Advanced), or splitting the document into multiple smaller documents. They can be attached to the same email.

  • You can also bypass the network queue by loading the file (PDF format only) onto a USB drive. The Library Circulation Desk has USB flash drives and USB A & USB C adapters. If you don't have access to a USB adapter, you can log into your email at one of the the Library public terminals, then copy your file onto the USB drive. The USB drive plugs into the front of the printer, then you can browse to your file and print it. 

  • Open your Outlook 365 email client. You don't need to include a subject 
  • Attach the file to an email 
  • Send it to nylsuniprint@nyls.edu (add this address to your Address book.). 
  • In a hurry? Skip the print queue by saving your job in Adobe PDF format to a USB flash drive. Plug it directly into the USB port next to the control panel, and select Access Stored Files.

PRINTING - ONECARD REGISTRATION

The first time you use the printer, you must register your OneCard in the network system.  This can be done at any networked printer on campus.  You need not send a print job before you do it.

Canon login with your network account Login with your username and password

 

  • Swipe your OneCard through the reader (front of card faces you)
  • Touch the User Name field to open the keyboard.  Enter your NYLS network credentials: Select OK.
  • Touch the Password field to open the keyboard. Enter your network password and touch OK, then Login.
  • Once you’ve registered this way, your card will be recognized at every networked  printer on campus.

  • Swipe your registered OneCard (front of card faces you).
  • Touch the Secure Print Scan icon, and choose Print.  You’ll see a queue of the jobs you’ve sent.  Touch the names of the documents you want to print.
  • The printer is configured to set all your print jobs to duplex (double-sided) by default. Click on the Options icon, to change duplex to simplex (single-sided), or add stapling and then select Set Options.
  • Touch Print + Delete or Print + Keep. Your job will stay in the print queue until midnight, after which it will be deleted.
  • When you’re finished, make sure to Log Out.

PRINTING FAQ

1. How soon after I send my job can I retrieve it from the printer?

Because jobs are sent to a central print queue in the cloud, it can take 5-10 minutes for a job to show up in the queue. If your job hasn't shown up in the printer queue after 10-15 minutes, please contact the OIT Help Desk (voice: 212-431-2316; email: helpdesk@nyls.edu, 7 days/week). 

2. I tried to send a file larger than 10MB and it got bounced back. What can I do?

4. I'm having problems with my print job, where can get help?

If your job hasn't shown up in the printer queue after 10-15 minutes, please contact the OIT Help Desk (voice: 212-431-2316; email: helpdesk@nyls.edu, 7 days/week). 
If you're having issues printing, please stop by the Circulation Desk during Library hours.

5. I've used up my funds in the Print Fund. How do I add funds to my OneCard?

Use the Account Management Centers (AMCs); next to the coffee bar or in the  5th floor vending area to add additional funds to your OneCard Flex Fund or online through the NYLS portal.  Select the OneCard icon (left column of the portal homepage).

6. Sometimes I'll get a "Load More Paper" message.

When that happens, click on the Status Monitor icon on the right side of the screen. Select Consumables then select another paper tray. If the printer is out of paper, please let the Circulation Desk know.

7. I just sent a bar application to print, but it didn't go through. 

Any documents containing personally identifiable information (PIP) may be  bounced back.  PIP includes: 

  • Social Security Number (SSN)
  • Driver’s license
  • Passport information
  • Financial information
  • Medical records

The workaround for this is to load the document (Adobe PDF only) on a USB drive (available at the Circulation Desk).The Circulation Desk also has USB C and USB adapters. You can also log into your email at one of the public terminals, plug the USB drive into the size of the monitor, and load the file on to the USB flash drive. The USB flash drive can be plugged into the front of the printer.

COPYING


Imagerunner copier settings

1.    At any ImageRunner printer on campus, swipe your registered OneCard (front of card faces you).
2.    Insert your document face down onto the glass platen or face up into document feeder.
3.    Touch the Copy icon. At the next screen, you may adjust copying options. 
4.    Once you’re ready to copy, press the green Start button to the right of the screen.
5.    If you want to manually staple your document, a stapler slot is located on the left side of the machine, below the output tray.
6.    When you’re finished, make sure to remove your original document and Log Out.

SCANNING

Scanning to Email 
1.    At any ImageRunner printer on campus, swipe your registered OneCard (front of card faces you).
2.    Insert your document face down onto the glass platen or face up into document feeder.
3.    Touch the Secure Print Scan icon, touch Scan, and choose your email destination.  At the next screen, you may adjust scanning options.
4.    Once you’re ready to scan, press the green Start button to the right of the screen.  An image of your document will appear on the screen.
5.    Touch Next and you may insert a file name, then touch Next and Finish Scan.  The file will be sent to your in-box.
6.    When you’re finished, make sure to remove your original document and Log Out. If you can't find your scan, please check your spam folder.


Scanning to a Flash Drive 
1.    At any ImageRunner printer on campus, insert your flash drive in the USB port to the left of the screen.
2.    Insert your document face down onto the glass platen or face up into document feeder.
3.    Swipe your registered OneCard (front of card faces you).
4.    Touch the Scan & Store icon, touch Memory Media, and choose a destination on your flash drive.
5.    Touch the Scan icon.  At the next screen, you may adjust scanning options.
6.    Once you’re ready to scan, press the green Start button to the right of the screen.
7.    When you’re finished, touch the ⇭ eject icons to safely remove your flash drive, remove your original document, and Log Out.

FOR BOOK SCANNING – Scannx flatbed scanners are located in Mendik Library rooms L100 and L300.

High Resolution Flatbed Scanners

The Library has 3 high resolution (600 dpi) flatbed book scanners. (Room L101:1; Room L301: 2). Scanning is free.
Files can be saved to USB, Google Drive, a flash drive, sent via email (file size maximum: 20 MB), or sent to a smartphone (QR reader app is required).
